THE OVELO FIELD NOTES

A little preparation.
A lot more possibility.

Start with useful questions, a realistic budget and space for the unexpected. These planning notes help you organise your research.

Build a budget that travels with you.

Compare the whole trip, not just an activity’s headline price. Create separate lines for your programme or activities, travel to the destination, accommodation, meals, local transport and preparation costs.

  • Ask for the currency, price date and whether the fee is per person or per group.
  • Write down what is included, optional and still unknown.
  • Check deposits, payment deadlines and cancellation conditions with the provider.
  • Keep a separate amount for unplanned expenses; choose it for your own circumstances.
  • Do not treat possible scholarships, discounts or funding as confirmed until the organisation agrees them.

Ask better questions. Choose with confidence.

A clear answer is more useful than a reassuring slogan. Use the same questions when comparing different opportunities.

  • Who actually runs and supervises the experience?
  • What will I do on a typical day, and how much time is independent?
  • What preparation or prior skills do I need?
  • Which accessibility arrangements can you confirm for my specific needs?
  • Who do I contact if arrangements change or something goes wrong?
  • For community or wildlife activities, how are local priorities and welfare protected?

Ask for written details and keep them with your plan. A listing or research source is not, on its own, a safety assessment or a confirmed booking.

Start your first big trip with small steps.

Choose a pace you can enjoy. Map arrival and departure days first, then add your main learning experience and the activities you care about most. Leave room for meals, transport, rest and changes of plan.

Check current entry requirements and travel advice for your own nationality and destination. For UK travellers, the FCDO publishes destination-specific advice; health preparation should be discussed with an appropriate healthcare professional.

Check requirements with the destination’s official immigration authority, and ask your insurer about the exact activities you plan to do.
